How to Design & Coordinate a Stylized Shoot




Awhile back you may have seen this post ~ this was the magazine spread that I coordinated and designed for Arizona Finest Weddings Magazine.  What I showcased in that post was the final product, today I'd like to discuss the process and how it all came to be....This information can also be useful in stylized engagement sessions, bridal sessions or themed family sessions. 
 

1.) Select Your Vendor Team~ You must choose professionals, if you desire a professional outcome.  Each member of your vendor team will play a very crucial role. Choose vendors that will work well in a team and that will listen to your communicated vision.  Sometimes when you gather a group of professional artists, they tend to want to go their own direction....you must choose vendors that will be dedicated to your vision...but at the same time communicate ideas/suggestions/enhancements that they might have to make the overall outcome even more spectacular.


2.) Layout the Foundation~ Do your research, walk the grounds of the venue/location in which the photo shoot will occur....don't work against it, simply work to enhance it.  Once you have you general idea, seek out other ideas in this theme.  Look through fashion magazines, design books, scour pinterest drench yourself in your idea, and eventually you'll have a very specific direction. 



3.) Communicate Your Vision~ this step is the MOST important.  And I'll be the first to admit, I don't think I'm the best at giving directions {that's why I don't teach kindergarten}.  For me, I've found sending photo layouts to the vendors is the best way to communicate the collaborative style.  And then respond quickly to any follow up questions they have to ensure the puzzle pieces fall together nicely. 



4.) Timeline~ When you're coordinating a stylized photo shoot for a magazine most of the vendors time and product is donated, knowing that they will receive credit in the magazine for their showcased work.  However, as the planner, you have to respect their time and efforts.  By doing so, you must make sure that your timeline is as flawless as possible. For example, you don't want the fresh flowers arriving before the all the rental pieces are set up and staged{tables, linens, plate ware}, you don't want the models arriving after the hair and make up team are already on site, etc. etc. 



5.) Pull it All Together~ If you have done your job correctly, the day of the shoot should be fairly easy on your part.  Reason being...you've already take the appropriate steps to create a stress free day for your vendor team.  Your job the day of, is to greet your team, answer pop up questions, make suggestions...However, it's very important to allow the vendor artists to be true artists the day of.  Many times planners will interrupt this process simply because they want to feel 100% in charge, this can only damage the overall outcome of the shoot.  You must TRUST that you've selected the right vendor team and that you've set them up for success, don't throw them off their game, when they're in the moment of the shoot.  Certainly ask questions and make suggestions if you feel something is wrong, but please don't micro manage the shoot...this allow interrupts the creative process and overall outcome.
